About the opportunityWe are seeking a highly organised and proactive Executive Coordinator to join the Office of the Chief Executive. This pivotal role provides high-level coordination and executive support services, ensuring the smooth operation of ministerial and departmental communications. The successful candidate will manage correspondence workflows, prepare briefings and reports, and facilitate effective engagement across the Department for Energy and Mining (DEM) and the Minister's office.
You will:
- Administer and oversee the ministerial correspondence workflow system, ensuring timely and high-quality outputs
- Research and collate information to support the preparation of briefings, reports, and responses
- Coordinate with internal stakeholders on sensitive matters under tight deadlines
- Build and maintain effective partnerships to support DEM's strategic objectives
- Contribute to continuous improvement initiatives and foster a positive team culture
- Provide backup support to team members as needed
- Undertake additional duties aligned with the role's classification and departmental needs

The Office of the Chief Executive is responsible for delivering professional, strategic and responsive executive support services to the Chief Executive, Executive Leadership team and wider department. The team drives the strategic priorities and objectives of the department and government. The Office of the Chief Executive plays a vital role in stakeholder engagement and is the interface with ministerial offices and agencies across government, ensuring the timely and accurate delivery of information and advice. The Office of the Chief Executive leads the department's ministerial, Parliament and Cabinet functions, and coordinates the department's whole of government reporting requirements.

- Demonstrated experience in managing the operations, processes, and systems required to coordinate briefings and correspondence
- Proven ability to work in a fast-paced environment and manage competing priorities including delivering own work requirements, collaborating with and supporting others
- Ability to communicate clearly, concisely and effectively, both verbally and in writing, with people at all levels, including proven ability to establish and maintain networks and team relationships
- Excellent organisational skills with an emphasis on accuracy, thoroughness, and attention to detail
- Sound understanding of government protocols and ethical standards, with a commitment to professionalism, discretion, and confidentiality
ASO4 salary range $76,561 - $80,256 per annum + superannuation
Full-time role, working 37.5 hours per week
This is a contract/term vacancy up to November 2026
