Scope of Work - Annual Maintenance Contract for VRF SystemLocation: Jumeirah Village Circle (JVC), Dubai, UAE
System: Variable Refrigerant Flow (VRF) Air Conditioning System
Contract Duration: 36 Months
ObjectiveTo ensure efficient, reliable, and uninterrupted performance of the VRF system throughout the year by performing comprehensive preventive maintenance, inspection, and servicing as per OEM recommendations and best industry practices.
System OverviewThe VRF system serves the common areas and apartments of Villa Myra Building and consists of:
- Indoor cassette, ducted, and wall mounted units
- Control system (central and local controllers)
- Drain piping and insulation network
- Associated electrical components and panels
Major Service: Once per year - Typically, before summer season
Minor Service: Three times per year - Every quarter after major service
Scope of Work (not limited to below)To be carried out once annually and includes:
- System Shutdown and Inspection
- Isolate power supply and perform safe shutdown.
- Visual inspection of outdoor and indoor units for damages, corrosion, or leaks.
- Check refrigerant circuit for oil traces and potential leaks.>
- Cleaning Activities
- Thorough chemical cleaning of indoor coil fins using non corrosive coil cleaner.
- Cleaning of outdoor condenser coils using high pressure water and approved chemicals.
- Cleaning and disinfecting all indoor unit drain pans and strainers.
- Flushing and clearing of condensate drain lines.
- Cleaning of fan blower wheels and filters.
- Mechanical and Electrical Checks
- Tightening of all electrical terminals, contactors, and relays.
- Inspection and testing of compressor amperage, voltage, and insulation resistance.
- Check and recalibrate thermistors and sensors.
- Check condition and operation of fan motors, bearings, and blades.
- Verify operation of expansion valves and refrigerant circuit.
- Refrigerant and Cooling Performance
- Check refrigerant pressure, temperature, and superheat/subcool values.
- Verify refrigerant level; top up if necessary (subject to approval and separate billing if leakage found).
- Performance test of the entire system to ensure cooling efficiency.
- Control System and BMS Check
- Inspect and test control panels, timers, and remote controllers.
- Confirm system integration with Building Management System (BMS) if applicable.
- Final Testing and Reporting
- Record operating parameters (pressure, current, voltage, temperature).
- Submit detailed service report with findings, recommendations, and photos.
To be carried out three times per year and includes:
- Cleaning of indoor unit filters and front panels.
- Cleaning of drain pans and clearing of drain lines.
- Inspection of refrigerant piping and insulation.
- Check operation of indoor and outdoor fans.
- Electrical connection inspection and tightening.
- Measure and record operating pressures and temperatures.
- Ensure control systems, sensors, and thermostats are functioning correctly.
- Visual inspection of outdoor units for debris and obstructions.
- Light coil cleaning (if required).
- Submit service report with observations and recommendations.
- Contractor shall provide emergency breakdown support during working hours at no additional charge.
- Emergency response time shall not exceed 4 hours for critical issues.
The contractor shall provide:
- Preventive maintenance checklist for each service.
- Annual performance summary report after the major service.
- Log of any corrective or breakdown works performed.
- All maintenance works must comply with Dubai Municipality, RERA, and Trakhees safety standards.
- Use of personal protective equipment (PPE) is mandatory.
- Disposal of condensate waste and chemicals must follow environmental regulations.
- Deploy trained HVAC technicians with VRF experience.
- Maintain minimum stock of consumables and filters.
- Ensure all tools and test equipment are calibrated and approved.
- Coordinate with building management prior to every service visit.
- Provide access to all plant rooms, apartments (where applicable), and service areas.
- Ensure power and water availability during maintenance.
- Review and approve service reports and recommendations.
- Four service visits per year (1 Major + 3 Minor).
- Emergency breakdown support.
- Annual performance report with recommendations for system improvement.
