About the RoleWe are seeking a Senior Personnel Coordinator to manage personnel logistics and administration for a major offshore project. The role involves overseeing offshore rosters, travel arrangements, and coordination across multiple subcontractors while ensuring smooth personnel mobilisation and compliance with project procedures.
Key Responsibilities- Manage all domestic and international personnel movements, including travel bookings and logistics.
- Ensure assignment letters, visas, and compliance documents are in place for all project personnel.
- Interface with client travel coordinators for fixed-wing and helicopter travel.
- Maintain up-to-date project documents, procedures, and personnel records.
- Implement actions to support project logistics plans and procedures.
- Ensure collaborative practices among project personnel teams including training, HR, and administration.
- Coordinate and issue daily roster and travel reports.
- Manage and maintain offshore personnel rosters.
- Be available on call during adverse weather or unforeseen events to manage personnel movements.
- Coordinate weekly POB (Personnel On Board) reviews with stakeholders and subcontractors.
- Manage training, competency tracking, and readiness of personnel for travel.
- Coordinate and process offshore timesheets.
- Year 12 or equivalent; studies in Human Resources Management preferred.
- Intermediate proficiency in Microsoft Excel and Word.
- Advanced knowledge of personnel logistics management systems.
- Strong written and verbal communication skills.
- Proven experience managing offshore rosters and personnel coordination.
- Experience coordinating mobilisation of personnel internationally and managing multiple subcontractors.
- Strong problem-solving skills and ability to manage multiple stakeholders effectively.
- Able to work autonomously and under pressure.
- Strong organisational skills and ability to prioritise tasks.
- Excellent interpersonal and customer service skills.
- Demonstrates discretion and maintains confidentiality.
- Team player with initiative and proactive approach.
- Applicants must have the right to work in Australia; visa sponsorship is not available.
- Personnel may be accommodated on Offshore Support Vessels during project execution.
- Extended or flexible hours may be required to meet project demands.
