About The RoleWe are seeking an experienced Operations Support Officer to join our Marine team. Reporting to the Operations Manager, this role involves collaborating with finance and administrative teams to streamline processes, maintain accurate records, and assist in daily manning compliance. Additionally, you will oversee document control and asset compliance certificate management, ensuring that all necessary documentation is maintained and up to date. This role also entails the implementation of new systems and software to enhance operational efficiency, as well as keeping track of staff qualifications and training requirements. Your organisational skills and attention to detail will play a vital role in supporting our team and achieving compliance across various functions.
Key responsibilities include but not limited:
- Ensure daily roster compliance for the safe manning of vessels, meeting minimum safety requirements and monitoring staff qualifications.
- Input and confirm staff shifts, managing attendance records and collaborating with the payroll team for accurate payroll processing.
- Serve as the primary contact for all payroll-related inquiries, responding promptly and resolving discrepancies with the payroll team.
- Implement and monitor document control processes, ensuring proper storage, retrieval, and compliance of important documents.
- Maintain and update asset compliance certificates, collaborating with third parties for audits while supporting the procurement process for new assets as required.
- Limited on-call duties and being the designated contact for crewing inquiries are also part of the role.
You are a detail-oriented professional with extensive expertise in administrative and compliance roles. Your strong communication skills and ability to liaise successfully with various stakeholders make you a vital team member. You are trustworthy and reliable, adept at managing sensitive information and ensuring compliance. With a focus on continuous improvement, you excel at implementing new systems and processes while efficiently managing multiple tasks.
To be successful in this role you will have:
- Detailed expertise and the ability to readily absorb new technical information
- Exceptional communication skills
- Ability to work within a team as well as autonomously
- A proven capability to deliver systems and process improvements
- High attention to detail and strong time management skills, with the ability to prioritise multiple tasks
- Advanced payroll program experience (Payglobal preferred);
- Advanced excel skills;
- Strong MS Office knowledge;
- Strong interpersonal skills;
- Experience in a similar administration role;
- HLTAID011: Provide First Aid and CPR (desirable);
- Marine tourism background (preferred).
