Integrated Documentation AssistantJob Purpose Assist in managing and controlling documentation, records, and archives within the Enterprise effectively.
Responsibilities- Assist in maintaining effective document and record control practices, including support for archives management.
- Assist in supporting the establishment of the Enterprise document storage system with anti-corruption measures.
- Assist in organizing vital documents, managing document and record inventories, and supporting the transition to a SAP-based electronic documentation system.
- Assist with supporting training program participants and participate in performance assessments for records management.
- Assist in the Document Control Library Storage and the management and protection of physical records.
- Assist in emergency situations and recovery plans, as well as in managing incoming and outgoing correspondences with compliance in mind.
- Assist in processing incoming and outgoing quality documents and records to meet the Enterprise quality standards.
- Assist in routine assessments of the document control/records management system's compliance as assigned.
- Assist in conducting inspections, observations, and surveillances for quality assurance purposes.
- Assist all Function Administrators involved in managing the organizations' records, ensuring that their responsibilities align with stakeholder engagement objectives and standards.
- Assist in providing training and awareness sessions in-house and to the stations for records management.
- Assist in establishing and maintaining communication channels with internal and external stakeholders.
- Support outage and/or the emergency response organization to ensure safe, reliable and continued operations; this may require shift work/off hours support.
- Diploma or Equivalent.
- 2-3 years of experience in a Documentation Management / Archive and library Management or Quality Controlled Environment.
English: Category A, IELTS Overall band score: 6 and above.
