The West Side Federation for Senior and Supportive Housing, Inc. (WSFSSH) is a community-based organization responding to the need for low-cost housing. Our mission is to provide safe, affordable housing with supportive services within a residential setting that enhances the independence and dignity of each person. WSFSSH develops, manages, and provides social services in housing for low-income persons, especially those who are older, who have experienced homelessness and who live with mental illness.

Job Summary

Under the supervision of the Managing Director of Human Resources, the Human Resources Coordinator is responsible for carrying out administrative duties including, but not limited to: Updating the HRMS, creating and tracking all Personnel Action Forms (PAF) forms, coordinating, with the Benefits Manager, benefits-related paperwork, ensuring paperwork is up to date and assisting with recruitment functions. The Human Resources Coordinator will work to support the daily HR activities as assigned by the Managing Director of Human Resources.

Please Note:This is a full-time position required to be in- house 4 days a week and one day working from home. (35 hours)

Job Duties & Responsibilities

Responsibilities include but are not limited to:

  • Enter and maintain employee data in the HRIS, including new hire details, status changes, and other updates as needed. File documents for all employees in appropriate files (HRMS or on-line filing); Run reports and censuses when needed and to assist with audits
  • Manage and process requests to hire and requests to post job openings in alignment with organizational procedures
  • Coordinate offboarding follow-up, including documentation, system updates, and exit logistics
  • Contribute to a positive onboarding experience by assisting with the coordination of new hire orientation, facilitating orientation sessions, and ensuring the timely collection of new hire paperwork
  • Provide administrative support to the Managing Director of Human Resources by scheduling HR meetings and HR events as needed
  • Support the Benefits Manager during open enrollment, leave of absence and disability paperwork for FMLA and Workers compensation situations
  • Support the Recruitment staff with OMH/DOH background check process, posting jobs, setting up qualification questions and scheduling online reference checks and background checks for potential new hires;
  • Partner with the Learning and Development Director and staff to track employee trainings
  • Complete assignments in a timely manner
  • Assist others with duties, as directed

Required Knowledge Skills & Abilities

  • Strong computer skills including Excel and Word,
  • Must be highly organized, able to prioritize and meet deadlines
  • Previous experience with HRIS/HRMS systems
  • Responsible and able to handle confidential information with professionalism and diplomacy
  • Strong collaboration skills and have a team player attitude
  • Bilingual English/Spanish a plus
  • Sensitivity to diverse and multicultural work environment

Required and Preferred Education, Experience and Credentials

  • BA Degree or an equivalent combination of education and relative experience
  • 2+ years of experience in HR administrative experience

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift or push up to 10 pounds at a time.
  • Travel within our residential sites, as needed
