Responsibilities- Greet and welcome visitors as soon as they arrive at the office.
- Direct visitors to the appropriate person and office or service.
- Answer, screen, and forward incoming phone calls accurately and efficiently.
- Ensure the reception area is tidy and presentable at all times.
- Receive, sort, and distribute daily mail and deliveries with precision.
- Maintain office security by monitoring access and managing visitor logs.
- Provide basic and accurate information in-person and via phone/email.
- Order front office supplies and keep inventory of stock items updated.
- Schedule meetings and appointments as required by executive staff.
- Coordinate meeting room bookings and handle the room's availability.
- Assist colleagues with administrative tasks and special projects as needed.
- Handle customer complaints, provide appropriate solutions, and elevate issues.
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in office management systems and procedures is essential.
- Professional attitude with a solid commitment to exceptional customer service.
- Excellent verbal and written communication skills are crucial for success.
- Strong organizational skills and ability to multitask efficiently under pressure.
- Knowledge of office management and basic bookkeeping practices is preferred.
- A high school diploma; additional certification in Office Management is a plus.
