The Commercial Operations Specialist oversees inventory management, release coordination, and overall commercial operations while maintaining high standards of accuracy, compliance, and operational excellence across the Administration, CRM, and After Sales functions. This role ensures end-to-end control over unit availability, release planning, data integrity, and performance reporting. The position plays a vital role in supporting data driven decision making and driving continuous improvement across all post sales and commercial functions.
Key Responsibilities 1. Inventory Management & Release Coordination- Monitor and maintain real time unit inventory across all projects, ensuring accuracy and timely updates in Salesforce.
- Coordinate with Sales, Finance, and Project teams for inventory release and reallocation approvals.
- Maintain full visibility over available, held, and sold units, ensuring alignment between system data and physical availability.
- Provide inventory performance reports highlighting stock movement, release schedules, and absorption rates.
- Demonstrate strong attention to detail in identifying units required to be available within each release batch, ensuring accuracy in availability and timely release updates.
- Possess a solid background in inventory release processes, including understanding availability rules, release cycles, and coordination between commercial and project teams.
- Conduct regular audits to ensure data accuracy across inventory, customer records, and payment schedules.
- Identify and resolve discrepancies in unit status, availability, or documentation within Salesforce.
- Enforce standardized data entry protocols and escalate inconsistencies where required.
- Design and maintain scorecards tracking commercial and operational performance, SLA adherence, and conversion efficiency.
- Analyze KPIs such as lead to sale ratio, turnaround time, and post sales processing accuracy.
- Provide data backed insights for monthly management reviews and performance evaluations.
- Develop and maintain live dashboards in Salesforce highlighting key metrics across inventory, sales progress, and operational performance.
- Collaborate with the CRM and IT teams to ensure dashboards reflect accurate, up to date information.
- Generate weekly and monthly reports on stock status, sold versus available ratios, and unit movement.
- Audit adherence to SOPs in lead management, booking, SPA execution, and handover processes.
- Ensure commercial and operational processes comply with company standards and regulatory requirements.
- Recommend improvements to enhance accuracy, speed, and customer satisfaction.
- Serve as a commercial liaison between Sales, Finance, and CRM teams.
- Ensure consistent communication on inventory updates, releases, and stock availability.
- Support project launches and customer handover readiness through coordinated data validation.
- Track and validate KPIs for sales and admin teams to support performance based incentive programs.
- Provide transparent reporting on performance metrics and achievement rates.
- Assist management in setting fair, measurable, and operationally aligned targets.
- Minimum 2-3 years of experience in commercial operations, inventory management, or sales administration within the real estate development industry.
- Strong Salesforce background with hands on experience managing inventory, dashboards, reports, and workflows.
- Excellent attention to detail, particularly in validating unit readiness and ensuring accurate availability within batch releases.
- Excellent analytical, coordination, and reporting skills.
- Strong communication and collaboration abilities across departments.
- Solid understanding of real estate workflows, including unit release, SPA execution, DLD coordination, and handover.
- High attention to detail and ability to perform under pressure in a fast paced environment.
